LMC High Performance Centre – Privacy Policy

LMC HPC (“the Club”, “we”, “our”, or “us”) is committed to protecting the privacy and personal data of all members, parents/guardians, and staff. This Privacy Policy explains how we collect, use, store, and protect your personal information in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


1. Data We Collect


We may collect and process the following types of information:

  • Member details: name, date of birth, address, contact details (phone number, email).

  • Parent/guardian details (for junior members): name, contact details, relationship to the member.

  • Emergency contact details.

  • Medical information relevant to participation in martial arts activities.

  • Membership details: attendance records, grading results, competition participation.

  • Payment information: Direct Debit details, fee payment records.

  • Media: photographs or videos for promotional use (only with consent).


2. How We Use Your Data


We process your personal data for the following purposes:

  • To manage Club membership, registrations, and renewals.

  • To process payments and maintain financial records.

  • To register members with British Taekwondo for insurance and licensing purposes.

  • To communicate with members and parents/guardians about classes, competitions, events, or changes to schedules.

  • To ensure the health, safety, and welfare of members.

  • To promote the Club (with consent, for photos/videos).


3. Legal Basis for Processing


We process your data under the following lawful bases:

  • Contractual necessity – to provide membership services and fulfil our obligations.

  • Legal obligation – to meet requirements of governing bodies and insurers.

  • Legitimate interests – to run the Club efficiently, including event organisation.

  • Consent – for optional uses such as photography, marketing, or newsletters.


4. Data Sharing


Your information may be shared with:

  • British Taekwondo (for insurance, licensing, and competition registration).

  • Competition organisers (for event entry purposes).

  • Service providers (e.g., Direct Debit payment processors).

    We will never sell or share your personal data with third parties for marketing purposes.


5. Data Storage and Retention

  • Personal data is stored securely in electronic or paper form with restricted access.

  • Payment details are processed securely and not stored by the Club.

  • Data is retained for as long as necessary for membership purposes and legal obligations.

  • Once a member leaves the Club, personal data will be securely deleted within 12 months, except where required for legal or financial records.


6. Your Rights


Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.

  • Request correction of inaccurate or incomplete data.

  • Request deletion of your data (where lawful).

  • Object to or restrict certain types of data processing.

7. Safeguarding Children’s Data


We recognise the importance of protecting children’s personal data:

  • Data is only collected from parents/guardians for junior members.

  • Children under 16 cannot provide consent directly; parental/guardian consent is required.


8. Photography and Media

  • Photographs or videos may be taken during classes, gradings, or competitions.

  • Media will only be used for Club promotion (e.g., website, social media) 



9. Parent Code of Conduct

At our Taekwondo club, we believe in fostering respect, discipline, and a positive learning environment for all students. We ask that parents support these values by encouraging good sportsmanship, showing respect to instructors, students, and other families, and allowing coaches to provide instruction during classes. Please help us create a positive atmosphere by offering praise and encouragement, keeping feedback constructive, and addressing any concerns privately and respectfully with staff. Consistent behaviour that is deemed rude, disruptive, or inappropriate will not be tolerated, as it goes against the spirit of respect and community that Taekwondo promotes. Together, we can ensure every student grows in confidence, skill, and character. LMC Reserve any right to suspend or terminate memberships in case of breach of LMC Club code of conduct. 


10. Uniform/ WT Protective Gear Purchasing and Returns Policy

LMC uniform and equipment is all made to order from WT in Korea to order please use email lmchpc@mail.com or on the sign up page add on. LMC Taekwondo suggests that after a month of training Custom Uniform is bought and used as it follows along with the Affiliated guide lines. LMC Taekwondo does not accept returns, as all items are custom-sized, made to order, and manufactured in Korea. Due to the bespoke nature and high value of our products, orders cannot be cancelled or refunded once production has commenced. In accordance with consumer law, we will gladly exchange or replace any item that is found to be faulty, not of acceptable quality, or significantly different from the size or description provided at the time of purchase. Customers are encouraged to contact us within a reasonable timeframe if any issue arises so we can resolve it promptly and fairly.
